UK support email templates
A library of ready-to-use British-English support email templates, written for real customer situations: refunds, delivery delays, complaints, order updates and more. Copy any of them and adapt, adjust the tone to your brand, and send. Each one is shaped to save as a Solves saved reply if you want consistent wording across your team.
How to use this library
Ready-to-use replies, written in plain British English
These are practical support email templates, not theory. Each page below gives you the actual words for a common situation, so you can stop rewriting the same reply from scratch and spend your time on the parts that need a human.
Every template is written in British English with a calm, clear tone: acknowledge the customer, explain what is happening, and give one obvious next step. Where a detail changes from message to message, you will see a placeholder in square brackets such as [customer name], [order number] or [refund amount]. Those brackets are a writing convention that shows where your own information goes. Replace every one before you send.
Read a template through once, swap the placeholders for real details, and adjust a sentence or two so it sounds like your brand rather than a stock reply. Keep any apology specific, only promise what you can deliver, and always tell the customer what happens next and roughly when.
From copied text to a saved reply
If you find yourself pasting the same wording in often, save it once. Solves ships saved replies, so you can store any of these templates as a saved reply, scope it to a single brand or share it across the organisation, and drop it into a ticket in a click. The wording stays consistent while your team adds the personal detail each customer deserves.

What a finished template looks like
Here is one complete template you can copy straight away: a warm first acknowledgement for a message you cannot answer in full yet. Read it through, replace every placeholder in square brackets with your own details, and send. Each page in the library above gives you several more like it, grouped by situation.
General acknowledgement
Subject: We have your message, [reference number]
Hello [customer name], thank you for getting in touch. This is just a quick note to let you know your message has reached us safely and is now with our team under reference [reference number]. We are looking into it and will come back to you with a full reply by [date or time, for example the end of tomorrow]. There is nothing more you need to do for now. If anything changes at your end in the meantime, simply reply to this email and it will stay with the same ticket.
Kind regards,
[your name], [brand name]
Replace [customer name], [reference number], [date or time], [your name] and [brand name] before you send, and adjust the greeting and sign-off so it sounds like your brand. The square brackets are a writing convention that marks where your own details go; they are not a Solves feature and will not fill themselves in.
Why templates help
Faster replies that still read like a person wrote them
A good template removes the blank-page moment without flattening your support into robotic text. The structure is fixed, so you reply faster and never forget the next step or the timing. The detail is yours, so the customer still feels answered rather than processed.
Consistency is the quieter benefit. When everyone starts from the same wording, a refund explained on Monday matches the one explained on Friday, and a new starter sounds as assured as your most experienced agent. That is exactly what saved replies are for: store the shape once, let your team add the human part each time.
Turn these templates into saved replies
