Trust / Sub-processors

The third parties that process your data.

A sub-processor is a third party that handles personal data on our behalf so that Solves can do its job. This page lists every one we use, what it does and where it sits. Today that is Postmark for email delivery, Stripe for billing and a UK or EU cloud provider for application hosting. We are at pilot stage and say so, with the formal register in preparation before public paid launch.

No fabricated provider names and no compliance badges. We list what is true and keep it current.

The short answer

Who processes data when you use Solves

Solves uses three sub-processors. Postmark delivers your support email, Stripe processes billing for paid plans, and a UK or EU cloud provider hosts the application. Each one does a specific job, and nothing more. The list below sets out the purpose and region of each, and how we tell you before it changes.

We keep this deliberately short and honest. There is no analytics network reading your support content, no advertising pixel, and no third-party AI service processing customer messages, because none of that is built. If that changes, this page changes first, and we give notice before a new sub-processor that touches customer data starts work.

Inside Solves itself, the sensitive part of support is protected concretely. Message bodies, subjects and contact details are encrypted at rest with XChaCha20-Poly1305 under per-organisation keys, access is restricted to authorised people scoped to the right organisation and brands, and our logs record what happened without storing bodies, email addresses or secrets.

The list

Our sub-processors, with purpose and region

These are the third parties processing customer or account data on our behalf at pilot stage. We do not name a specific hosting provider until that is settled and we can state it accurately.

PostmarkEmail delivery: sends and receives your support email on your behalf. Region: as set by the provider for transactional email.
StripeBilling: processes payment and subscription details for paid Solves plans. It does not process your customers' support conversations. Region: as set by the provider for payments.
UK or EU cloud hosting providerApplication hosting: runs the Solves application and stores support data. Region: a UK or EU provider, so support content stays within the UK or EU. We will name the provider once it is confirmed.

What each one does

  • Postmark is the email service behind every inbound and outbound support message, so by design it processes the email it handles on your behalf.
  • Stripe takes over only when you move to a paid plan, and it sees billing details for your subscription, not your customers' messages.
  • The hosting provider runs the application and holds the encrypted support data, which is why we intend to keep it on a UK or EU cloud.

What is not a sub-processor here

Several things people expect to see are absent on purpose. There is no live chat, telephony, social or WhatsApp provider, because Solves is email-first and does not run those channels. There is no separate analytics or advertising third party reading support content, and no developer API or webhook delivery to an external service, because those are not built. The honest list is short, and we would rather it stayed that way.

Notice of changes

How we tell you before this list changes

We update this page first

Any new sub-processor that processes customer data is added here, with its purpose and region, before or as it starts. This published page is the single source of truth for who is involved.

We give notice

We plan to give notice before a new sub-processor touching customer data begins work, so you have a window to ask questions or raise a concern rather than find out after the fact.

Subscribe to be told directly

To be notified without checking the page, contact us and ask to be added to sub-processor change notices. We will record the request and include you when this list changes.

Pilot stage, stated plainly

Solves is at pilot stage. The sub-processors above are the ones in use today. A full, formal sub-processors register and the related data processing agreement are in preparation before public paid launch. We will not assert certifications or a blanket compliance claim we do not have.

FAQ

Sub-processor questions

How will I know if you add a sub-processor?

This page is the published list, so the simplest way to keep up is to check it. We also plan to give notice before a new sub-processor that touches customer data starts work, so you have time to ask questions or raise a concern. The quickest way to be told directly is to contact us and ask to be added to sub-processor change notices, and we will record your request.

What is a sub-processor?

A sub-processor is a third party that processes personal data on our behalf so that Solves can do its job. The clearest example is the service that actually sends and receives your support email. Listing sub-processors openly is a normal part of handling personal data responsibly, and it lets you see exactly who is involved before you trust us with a support inbox.

Does Postmark or Stripe see my customers' messages?

Postmark handles the delivery of your support email, so by design it processes the email it sends and receives on your behalf. Stripe processes billing details for your Solves subscription, not your customers' support conversations. Inside Solves, message bodies, subjects and contact details are encrypted at rest under per-organisation keys, and our own logs are metadata only.

Where are your sub-processors located?

Solves is built UK-first and is intended to run its application hosting on a UK or EU cloud provider, so support content stays within the UK or EU. Email delivery and billing are handled by Postmark and Stripe respectively. We will not name a specific hosting provider, region or facility until that is settled and we can state it accurately rather than guess.

Is this the complete, final list?

This page lists the sub-processors in use at pilot stage. A full, formal sub-processors register and the related data processing agreement are in preparation before public paid launch. We would rather publish an honest list now and keep it current than promise a finished document we have not finalised. If you need the register for due diligence, contact us and we will tell you where it stands.
