A helpdesk that keeps every client straight.
Web agencies field edits, hosting questions, domain queries and invoice chasers for a dozen client brands, usually out of a single shared inbox that nobody owns. Solves turns that email into owned tickets, runs every client brand from one login and one queue, and makes replying as the wrong client structurally hard.
See it working
Every client brand in one queue
Work all your clients from a single login. Each ticket is badged to its brand, so you can filter to one client or work the whole queue, and the composer is locked to the ticket's brand and mailbox so a reply never goes out under the wrong client's name.
- Per-brand badges and filters on one unified queue
- Wrong-brand outbound send blocked at the source
- Per-client support address, from-name and signature
The short answer
One desk for every client brand you support
A web agency is really running support for several businesses at once. Each client has its own customers, its own tone and its own support address, and they all expect replies that look like they came from them, not from your agency. A shared inbox cannot do that cleanly. A helpdesk built for multi-brand can.
Solves treats each client as a brand. A brand owns its support address, its from-name and its signature, and its tickets, contacts and saved replies all carry that brand. Your team works one unified queue where a Harbour edit request, a Kiln hosting question and an invoice query sit side by side, each badged to its client, each answerable in seconds with the correct identity. You can filter to one client, group by client, or work the whole queue.
The mistake every agency dreads is sending a reply for one client under another client's name. Solves removes that risk at the source. The reply composer is locked to the ticket's brand and mailbox, and the outbound address is taken from that mailbox rather than from anything the browser sends. Switching the outbound brand on a ticket is an explicit, audited admin action, so the wrong-brand send simply cannot happen by accident.
What an agency gets
Built for support across many client brands
One unified queue
Every open ticket across the clients you can access, in one list, with a client badge on each row and a brand filter and grouped-by-brand view a click away.
Per-client identity
Each client brand has its own support address, from-name and signature, so replies always go out looking like the business the customer wrote to.
Wrong-brand send guard
The composer is locked to the ticket's brand and mailbox; changing the outbound identity is an explicit, audited admin action, never a stray click.
Brand-scoped saved replies
Saved replies can be scoped to a single client or shared across your agency, so the right wording and tone reach the right customers.
Private notes for devs
Light collaborators can read tickets and add private notes but cannot send. A developer can flag a bug or add context without ever becoming the customer-facing voice.
Guided Freshdesk import (coming)
In pilot, not live yet. When it ships it will bring contacts, saved replies, open tickets and conversations across into a chosen brand, with a preview before commit and encrypted credentials, so you can move clients over one at a time.
How it works
Add a client, connect its mailbox, work one queue
You can run the whole agency through one login without losing each client's identity.
Create a brand per client
Add a brand for each client you support: its name, colour, default from-name and signature. Clients share your workspace but stay separate to their own customers.
Connect each client mailbox
Point each client's support address at Solves with forwarding-first setup and run the copyable DNS checks. Live sending for a client stays blocked until its checks pass or a founder override is recorded.
Work everything in one queue
Tickets arrive badged to their client. Filter by client, group by client, or work the whole queue, set ownership and priority, and reply with the correct identity every time.
In practice
What an agency support day looks like
Picture a five-person agency that maintains a dozen client sites. On a normal Monday the inbox holds a content edit for one client, a "my email has stopped working" panic for another, a domain renewal question, two invoice chasers and a launch-day bug on a site going live that afternoon. In a shared inbox, those get half-read, double-answered or quietly forgotten. In Solves they become owned tickets, each assigned to a person, each badged to the right client, each with a state you can trust.
The requests agencies actually field
Agency support is broad by nature. It spans website edits and small change requests, hosting and uptime questions, domain and DNS queries, email deliverability problems, plugin and update issues, and the steady stream of billing and invoice questions. Solves does not pretend each of these is a different product. They are all email, so they all become tickets you can own, prioritise, tag and time, with the right client identity on every reply.
States that match how agency work really flows
Agency tickets rarely close in one reply. A change request waits on client sign-off; a hosting issue waits on a provider; an edit waits on copy that has not arrived. Solves gives you New, Open, Waiting for Customer, Snoozed, Resolved and Closed, so a ticket parked on a client decision is visibly waiting rather than silently rotting.
Response times you can stand behind
Clients judge an agency on how fast support replies, not on the tooling behind it. Solves gives you first-response and resolution SLA timers with per-brand targets, an ageing view so nothing slips, and a breaching view so you can see what needs attention first. You can promise a first-response time per client and actually keep it, because the queue never loses a message and the report shows you where you stand.
Helpers and contractors without a per-seat penalty
The usual blocker for an agency is pricing. Most helpdesks charge per agent, so the contractor who covers a launch week or the developer who needs to comment on two tickets a month costs a full seat each. Solves uses GBP team bands, so you size the plan to your team and let helpers help. Light collaborators are notes-only by design, which means a developer can add technical context to a client ticket without ever being able to send a reply in the client's name.
Moving across
Switching an agency off Freshdesk
Agencies that have outgrown a shared inbox often land on Freshdesk first, then find the per-agent pricing punishes the way agencies actually staff support. A guided Freshdesk import is coming (in pilot, not live yet), so you will not lose history when you move. When it ships it will bring across contacts, saved replies, open tickets and their conversations into a brand you choose, with encrypted credentials and a preview before anything is committed.
Crucially, it is designed to move client by client: import one client brand, check the preview, commit, then repeat for the next, with private notes staying private through the move so the internal context your team built up does not leak to customers. Until the import ships we will help you plan your move from Freshdesk, and the early-adopter pilot includes setup help and saved-reply migration, so the first 20 paid customers get a hand with the switch rather than a manual.
Honest comparison
Solves vs a typical helpdesk for an agency
Where a single Solves workspace fits a small multi-client agency, and where a broader platform is the better fit.
| Solves | Typical helpdesk | |
|---|---|---|
| Several client brands in one login | Included, core to the product | Often a higher-tier add-on |
| How you pay for helpers | GBP team bands, no per-seat penalty | Usually per agent, per month |
| Wrong-brand send prevention | Composer locked to the ticket brand and mailbox | Varies; often relies on agent care |
| Moving in from Freshdesk | Guided import coming (in pilot); we will help you plan your move today | Varies; often a manual export and re-import |
| Client portal and knowledge base | Coming, not live today | Often included |
| Phone, live chat and social | Not included, by design | Often available as add-ons |

Solves does not claim feature parity with a full contact-centre suite. If your clients need a self-service portal, public help articles, live chat or phone support today, a broader platform is the better fit. Solves is email-first and built for the agency that lives in its shared inbox.
Email-first, on purpose
Solves handles support email for every client: tickets, ownership, notes, SLAs and multi-brand. It does not do live chat, phone or social inboxes. That focus is exactly why a small agency can run a dozen client brands without drowning in channels.

FAQ
Agency helpdesk questions
What is a helpdesk for a web agency?
It is a shared support system that turns the email an agency receives for each client into owned, trackable tickets, instead of letting requests pile up in a shared inbox. A web-agency helpdesk needs one thing most generic tools skip: it has to keep several client brands separate, so a reply for one client never goes out looking like another. Solves runs every client brand from one login and one queue, with each brand keeping its own support address, sender name and signature.
Is a helpdesk a CRM?
No. A helpdesk and a CRM solve different problems, and Solves is a helpdesk, not a CRM. A CRM tracks sales relationships: leads, deals, pipeline value and the long arc of an account. A helpdesk handles the day-to-day support work after the sale: the edits, hosting questions, domain queries and invoice chasers that arrive by email. Solves keeps a contact's past tickets grouped by brand so you have support context, but it does not manage sales pipelines or run marketing campaigns. If you need both, run a CRM for sales and Solves for support email.
Can one teammate reply as the wrong client by mistake?
No. The reply composer is locked to the ticket's brand and mailbox, and the from-address comes from that mailbox, never from anything the browser sends. So a reply to a client of Brand A cannot quietly go out under Brand B's name. Changing the outbound brand on a ticket needs an explicit, audited admin action. For an agency answering for several clients in one day, this is the difference between a calm queue and an awkward apology.
Can freelancers and contractors help without paying for a full seat?
Yes. Solves uses GBP team bands rather than per-agent pricing, so the contractor who picks up overflow on a busy launch week does not cost you a full monthly seat. You can also add light collaborators who can read tickets and add private notes but cannot send replies, which suits a developer who needs to comment on a bug without becoming the customer-facing voice.
Can I move my agency off Freshdesk without losing history?
A guided Freshdesk import is coming (in pilot, not live yet). When it ships it will bring across contacts, saved replies, open tickets and their conversations into a brand you choose, with a preview before anything is committed and encrypted credentials throughout. Private notes will stay private through the move, and you will import one client brand at a time, check the preview, then commit, so the switch happens at your pace rather than in one risky weekend. In the meantime we will help you plan your move from Freshdesk, and saved-reply migration with human-assisted setup is available today.
Does each client brand need its own email setup?
Each brand has its own mailbox, and each mailbox is verified separately with plain-English, copyable DNS steps before live sending is allowed. That keeps deliverability and sender identity correct per client. Setup is forwarding-first, so you can start receiving a client's email quickly and switch on live sending for that brand once its checks pass or a recorded founder override is in place.
Does Solves include a client portal or a knowledge base?
Not yet. A customer portal and a knowledge base are on the roadmap and described as coming, not live. Today Solves is email-first: clients email their usual support address and you work those messages as owned tickets. If a self-service portal or public help articles are essential to you right now, a broader platform may suit better, and we would rather say so than oversell.
