Warranty claim reply templates
Five ready-to-use email templates for handling a warranty claim from start to finish: acknowledging the claim, asking for more information, approving it, declining it with a clear reason, and confirming a replacement is on its way. Written in plain British English, easy to adapt, and built to keep customers calm even when the answer is no.
How to use these
Copy, adapt, and keep the tone calm
A warranty claim is a moment of risk and a moment of trust. The customer has a product that has let them down, and your reply decides whether they feel looked after or fobbed off. These templates give you a tested starting point for each stage, so nobody on the team has to write a tricky reply from a blank page under pressure.
Everything in square brackets, such as [customer name], [product name] or [order number], is a placeholder. Swap it for the real detail before you send. Those brackets are just a way to mark what to change; they are illustrative copy, not a Solves feature.
Read each template once before you adapt it. Keep the structure, which leads with where the claim stands and ends with one clear next step, but rewrite the specifics so the reply reads as if it was written for this customer and this product. A template that still sounds like a template undoes most of its own good work.
A quick word on rights before you start. A manufacturer or retailer warranty is a promise you choose to make. It sits on top of the statutory rights a UK consumer already has under the Consumer Rights Act 2015, which your terms cannot take away. These templates are general support copy, not legal advice, so for anything contentious take proper advice before you commit a position in writing.
Template 1
Claim received: a same-day acknowledgement
The first job is simply to confirm a person has the claim and to set a realistic timescale. Send this fast, even if the decision will take days. Tone: warm, reassuring, no commitment to an outcome yet.
Standard acknowledgement
Subject: Your warranty claim for [product name], reference [claim reference]
Hello [customer name],
Thank you for getting in touch, and I am sorry to hear that your [product name] is not working as it should. I can confirm your warranty claim has reached us and is now with our team.
I have logged it against order [order number] under the reference [claim reference]. Please quote that reference if you write to us again, as it keeps everything about your claim in one place.
We aim to review warranty claims within [number] working days. I will come back to you by [date] with either a decision or, if we need anything further from you, a clear list of what would help us move things along.
Thank you for your patience in the meantime. If anything changes at your end, or the fault gets worse, just reply to this email and it will reach me directly.
Kind regards,
[your name], [your team or brand name]
Shorter version for a simple claim
Hello [customer name], thank you for your warranty claim for your [product name]. It has reached our team and is logged under reference [claim reference] against order [order number]. We will review it within [number] working days and come back to you by [date]. If anything changes in the meantime, just reply to this email. Kind regards, [your name].
Template 2
More information needed: ask once, ask clearly
When you cannot decide yet, the goal is to get everything you need in a single round, so the customer is not asked the same kind of question three days running. Tone: helpful and specific, never accusatory. Put the requests in a short list.
Requesting details and evidence
Subject: A few details to progress your warranty claim [claim reference]
Hello [customer name],
Thank you for your patience while we look into your warranty claim for your [product name]. To make a fair decision quickly, there are a few things I need from you.
Could you please send the following:
- A short description of the fault and when it first appeared.
- The serial number, which you will find [where to look for it].
- One or two clear photographs, or a short video, that show the problem.
- Confirmation of the date and place of purchase if it differs from order [order number].
You can reply straight to this email and attach the photos or video here; there is no separate form to fill in. Once I have these, I expect to reach a decision within [number] working days and I will write to you as soon as I have one.
Thank you for taking the time to gather these. The more we can see, the faster and fairer the outcome.
Kind regards,
[your name], [your team or brand name]
When you need the item returned for inspection
Hello [customer name], thank you for the details so far. To complete our assessment, we will need to inspect the [product name] itself. I have attached a prepaid returns label; please pack the item with [any accessories or packaging needed] and send it to us using that label. Once it reaches us, our inspection usually takes [number] working days, and I will write to you with the outcome. If posting the item is difficult for any reason, let me know and we will find another way. Kind regards, [your name].
A short note on tone: never imply the customer is exaggerating. Ask for evidence as a normal part of a fair process, not as a hurdle, and make returning the item as painless as you can.
Template 3
Claim approved: confirm the good news clearly
When the answer is yes, say so plainly in the first line and tell the customer exactly what happens now. Tone: positive and concrete. This is your chance to turn a disappointed customer back into a happy one.
Approval with a replacement
Subject: Good news: your warranty claim [claim reference] is approved
Hello [customer name],
I am pleased to tell you that we have approved your warranty claim for your [product name]. Thank you for the details you sent, which made the decision straightforward.
Here is what happens next. We will send you a replacement [product name] at no cost to you. It will be dispatched by [date], and I will email you the tracking details as soon as it leaves us. You do not need to do anything further to receive it.
If you still have the faulty unit, please [keep it / return it using the prepaid label I have attached / dispose of it, whichever applies]. Either way, there is nothing for you to pay.
I am sorry the original let you down, and I appreciate your patience while we sorted it out. If you have any questions before the replacement arrives, just reply to this email.
Kind regards,
[your name], [your team or brand name]
Approval with a repair
Hello [customer name], I am pleased to confirm we have approved your warranty claim [claim reference] for your [product name]. We will repair the fault free of charge. Please send the item to us using the attached prepaid label, and once it arrives our workshop will complete the repair within [number] working days. I will keep you updated at each stage and let you know the moment it is on its way back to you. Thank you for your patience. Kind regards, [your name].
Approval with a refund
Hello [customer name], good news: your warranty claim [claim reference] is approved. As a replacement is not available, we will refund [amount] to your original payment method. The refund has been processed today and usually appears within [number] working days, depending on your bank. You will see it referenced as [refund reference]. I am sorry the [product name] did not last as it should have. If the refund has not reached you by [date], reply to this email and I will chase it. Kind regards, [your name].
Template 4
Claim declined: be honest, specific and fair
A declined claim is the hardest email to write and the most important to get right. Lead with the decision and the precise reason, show you looked at the evidence, and always offer a realistic way forward. Tone: respectful and firm, never defensive or vague.
Decline because the fault is outside the warranty period
Subject: An update on your warranty claim [claim reference]
Hello [customer name],
Thank you for sending the details of your claim for your [product name]. I have looked at everything carefully, and I am sorry to say that on this occasion we are not able to cover it under warranty.
The reason is that the warranty on this product runs for [length of warranty] from the date of purchase, and order [order number] was placed on [purchase date]. That puts the fault outside the covered period, so it falls beyond what the warranty can include.
I do not want to leave you without options. We can offer a chargeable repair, which for this fault would be around [amount], or [number] per cent off a replacement [product name] as a gesture of goodwill. If you would like either, just reply and I will set it up.
I am sorry this is not the answer you were hoping for. If you feel there are circumstances I have not taken into account, please tell me and I will gladly look again.
Kind regards,
[your name], [your team or brand name]
Decline because the damage is not a covered fault
Hello [customer name], thank you for the photographs of your [product name], and I am sorry to bring disappointing news. Having reviewed them with our team, the damage shown is consistent with [accidental damage / wear from use / a cause not covered], rather than a manufacturing fault. The warranty covers faults in materials and workmanship, so I am not able to approve the claim on that basis. I would still like to help: we can repair the item for [amount], or offer [number] per cent off a new one. If you think the photographs do not tell the full story, send me anything further and I will reassess. Kind regards, [your name].
Decline while pointing to statutory rights
Hello [customer name], thank you for your patience. After reviewing your claim for your [product name], we are not able to approve it under our warranty because [specific, accurate reason]. I want to be clear that this is separate from your rights as a consumer. Depending on the circumstances, you may have rights under the Consumer Rights Act 2015 that apply regardless of the warranty, and you are welcome to raise the matter on that basis. If you would like to do so, reply to this email and tell me more about the fault and how it developed, and I will make sure it is looked at properly. Kind regards, [your name].
A note on tone: a good decline never sounds like a copied-and-pasted refusal. Name the exact reason, reference the specific evidence or dates, and leave a door open. Defensiveness reads as bad faith; calm specificity reads as fairness.
Template 5
Replacement dispatched: confirm and reassure
The final touch on an approved claim is the dispatch confirmation. Give the tracking, set expectations on delivery, and close the loop warmly. Tone: brisk, positive and helpful.
Dispatch confirmation with tracking
Subject: Your replacement [product name] is on its way, claim [claim reference]
Hello [customer name],
Good news: your replacement [product name] has been dispatched today against your approved warranty claim [claim reference].
Here are the details:
- Courier: [courier name]
- Tracking number: [tracking number]
- Expected delivery: [delivery date or window]
- Delivery address: [delivery address]
You can follow your parcel using the descriptive tracking link in your courier confirmation. If the address above is not correct, reply to this email straight away and I will try to update it before it ships out from the depot.
Once it arrives, please check the replacement over and let me know if everything is in order. If you were asked to return the original unit, the prepaid label is attached again here for convenience.
Thank you for your patience throughout, and apologies again for the trouble caused. I hope the replacement serves you well.
Kind regards,
[your name], [your team or brand name]
Short follow-up once delivery is confirmed
Hello [customer name], I can see your replacement [product name] was delivered on [delivery date]. I just wanted to close the loop and check it arrived safely and is working as it should. If anything is not right, reply to this email and I will sort it out. Otherwise, thank you for bearing with us, and that wraps up claim [claim reference]. Kind regards, [your name].
Make every reply consistent
What good warranty replies have in common
Whichever stage you are at, the same handful of habits keep customers calm and your team out of long email threads.
Always quote the reference
Lead with the product, order number and a single claim reference so the whole thread stays easy to follow for everyone.
Give a real timescale
Commit to a date or a number of working days you can actually meet, then meet it. A kept small promise builds more trust than a vague big one.
One clear next step
End every reply with exactly one thing that happens next, and who does it, so the customer is never left guessing.
Plain over legalistic
Explain decisions in plain British English. Quote the warranty term if it helps, but never hide behind it.
A door left open
Even a firm decline offers a realistic alternative and invites the customer to share anything you may have missed.
Consistent tone
Warm, specific and respectful at every stage, so a customer gets the same calm experience from acknowledgement to dispatch.
Placeholders are just markers
The square brackets like [customer name] and [claim reference] are there to show what to swap before sending. They are illustrative copy in these examples, not a built-in field. Replace each one with the real detail so the reply reads as personal.
Turn templates into reusable replies
Save the ones you use most
A template only saves time if the right person can reach it at the right moment. The usual trap is a document of warranty wording that nobody opens once a queue gets busy, so people improvise and consistency slips.
In Solves you can keep the templates you actually use as saved replies, drop them into a ticket in a couple of clicks, and adapt the placeholders before sending. Because saved replies can be scoped to a brand, a multi-brand team can keep the right warranty wording and tone for each brand it supports, all from one queue.
Pair that with private notes for the internal decision, such as why a claim was declined or what evidence was checked, and wall-clock first-response and resolution timers with a breaching view, and the whole warranty process stays owned, timed and consistent without anyone memorising a script.
FAQ
Warranty reply questions
How quickly should I acknowledge a warranty claim?
Send a short acknowledgement on the same working day if you can, and within one business day at the latest. The customer mostly wants to know the claim has landed with a person and what happens next. A quick holding reply that sets a realistic timescale calms most situations, even when the decision itself will take longer.
What should a warranty claim reply always include?
Reference the product and order or serial number, state clearly where the claim now stands, and give one concrete next step with a timescale. If you need something from the customer, ask for it in a single short list so they can reply once. Avoid legalistic wording; plain, polite British English reads as more trustworthy and reduces back-and-forth.
How do I decline a warranty claim without losing the customer?
Lead with the decision and the specific reason, not a wall of terms. Show that you looked at the actual evidence, point to the relevant part of the warranty, and offer a realistic alternative such as a paid repair, a discount on a replacement, or pointing them to their statutory rights. A firm but fair no, explained well, keeps far more goodwill than a vague one.
Do these templates cover UK consumer rights?
These are general support templates, not legal advice. UK consumers have statutory rights under the Consumer Rights Act 2015 that sit alongside any manufacturer warranty, and those rights cannot be removed by your terms. Where a claim touches statutory rights rather than a goodwill warranty, say so plainly and, for anything contentious, take advice before you commit a position in writing.
Should warranty replies sound formal or friendly?
Aim for warm and plain rather than stiff or chummy. A warranty claim often means the customer is disappointed, so the tone needs to be calm, specific and respectful of their time. Short sentences, a clear next step and no jargon do more for trust than formal phrasing. Match a little of the customer's own register, but keep it professional throughout.
Keep your best warranty replies one click away
Save these templates as Solves saved replies, scope them to the right brand, and reply consistently from one owned queue.
